AllenTrack, a Web-based software program, will perform all of the essential editorial office tracking functions. This program is designed for editorial personnel requiring data entry, data retrieval, correspondence, reporting, workflow control, manuscript file management, and database access from office, lab, home, or the road. Access to AllenTrack online is controlled by login and user privileges that the editor can establish for in-house personnel, associate editors, authors, and reviewers. The database is housed, maintained, and backed up daily on Allen Press' servers, providing a constant and up-to-date log of where each manuscript is in the review process. 

AllenTrack will be configured for each journal's specific needs. The editorial office will not need to learn new terms for basic functions, since most lists can be modified to include each journal's particular vocabulary for personnel titles, process steps, and correspondence. AllenTrack was designed to facilitate online submission, review, and correspondence. The editorial office can preview and edit letters, print them, save and retrieve them, or send them as e-mail. The powerful

 

reporting system provides ready-to-run reports and Allen Press can design special reports for specific needs.

Authors can now submit a manuscript online and reviewers can review the manuscripts online. Authors enter all participating authors with updated addresses, upload manuscript and figure files, add updated files at a later date, and view the electronic manuscript page proofs before logging out. Once submitted to the database, the files are converted as needed to a Web-viewable format in either PDF or HTML. Most word-processing files are convertible (eg, DOC, WPD, RTF, LaTeX, and TXT). Figures can be uploaded in JPEG, TIFF, GIF, XLS, PPT, CDR, PSD, or EPS formats. Files can also be entered directly from the editorial office. Some authors do not have Internet access and will continue to submit their manuscripts via mail, whereupon the editorial office can pose as the author and enter the manuscript into AllenTrack . Reviewers are allowed to view or download the manuscript, select reviewer recommendations, and enter or copy-and-paste comments. AllenTrack is available from any computer, any operating system, any platform, anywhere in the world with an Internet connection. There is no software for the editor to load other than a standard Internet browser, Acrobat Reader, and e-mail software. All functions are provided as a remote Internet Application Service. The editor will never need to load a new version of the software or be responsible for backing up data.

AllenTrack is powered by eJournalPress software. The program has been renamed AllenTrack to prepare for additional features that will allow manuscripts to flow seamlessly into the Allen Press typesetting process, making our version of eJournalPress unique and exclusive to Allen Press. In the future, we plan to see electronic manuscripts traveling through review, copyediting, typesetting, optional PDF proof delivery, revisions, and, finally, direct-to-plate in electronic format. This electronic process will reduce time, mailing fees, and introduction of errors at every stage of the process.

Allen Press employees will assist the editor in the initial setup of each online journal database. The editor will be required to fill out forms concerning editorial office vocabulary and journal procedures. The system will be tested and explained to ensure ease of use. Site visits for training can be arranged for an additional fee. Database rollover from another system can also be arranged for an additional fee.
